NDIS Ordering

At Assistive Tech, we've listened to your feedback and rebuilt our NDIS Ordering system from the ground up.

From today there's no separate site, product catalogue or process, you can now get an NDIS quote or place an NDIS order straight from your cart on the Assistive Tech website. Add your products, click NDIS Quote / Order, and we’ll guide you through the rest. It takes a few minutes and you can sign online.

What’s changed

  • No separate ordering site. NDIS ordering has moved from easyas.assistivetech.com.au into our main store. Shop as normal, then choose NDIS Quote / Order in your cart.
  • Real quotes. If you need approval or want to check with your Plan Manager first, you’ll get a proper quote (PDF) instead of an unsigned service agreement.
  • Turn a quote into an order yourself. When you’re ready, use the link on your quote to convert it into a service agreement and sign it online. You don’t need to call us.

How it works

  1. Add products to your cart

Browse the store and add the products you need, just like any other order. An agreement or quote can include up to 15 different products.

  2. Click NDIS Quote / Order in your cart

This opens our secure NDIS ordering form in a new page, with your cart already loaded.

  3. Choose “Ready to Order” or “Need a Quote First”

Pick Ready to Order if the funding is approved or available in the plan. Pick Need a Quote First if you need a quote to get NDIS approval or to check with a Plan Manager.

  4. Tell us how the plan is managed

Choose Plan Managed, Self Managed or NDIS / Agency Managed. Not sure? Check the NDIS plan or ask your Support Coordinator.

  5. Enter the participant, signer and delivery details

These must match the participant’s NDIS plan. For plan-managed participants we’ll also ask who the Plan Manager is. Your progress saves as you go.

  6. Check your summary, then get your quote or sign

Review everything, including freight and the total. Then click Get a Quote to receive your quote, or Create Agreement to review and sign your service agreement online.

Have these details ready

  • The participant’s full name and date of birth
  • The participant’s 9-digit NDIS number
  • How the plan is managed (plan, self or NDIS / agency managed)
  • Plan Manager’s company name (plan managed only). If they’re not on our list, their phone number and invoices email too
  • Name, email and phone of the person signing
  • The delivery address, and a delivery contact if someone else will receive the parcel

Who pays, and how

How you’re invoiced depends on how the participant’s NDIS plan is managed.

Plan type Who receives the invoice How it’s paid
Plan Managed Who receives the invoiceYour Plan Manager. We send the invoice to them directly. How it’s paidYour Plan Manager lodges the payment claim with the NDIS, receives the funds and pays Assistive Tech. You don’t need to pay us directly.
Self Managed Who receives the invoiceThe person who signed the agreement, by email. How it’s paidYou pay Assistive Tech, then lodge a payment claim with the NDIS.
NDIS / Agency Managed Who receives the invoiceNo invoice to you. We claim from the NDIS. How it’s paidAssistive Tech lodges the payment claim directly with the NDIS and the NDIS pays us. Product eligibility may be limited for agency-managed plans.

Product eligibility

Replacement Support

Approval letter needed before we invoice

Some products, including phones, tablets, tablet cases, smart watches, smart home devices and AAC apps and bundles, are “Replacement Supports” under the NDIS.

You can still get a quote or sign an agreement, but we need a copy of the participant’s Replacement Supports approval letter (also called a Section 10 letter) before we can invoice. We’ll hold the order until we receive it.

Ineligible items

Remove these to continue

Some products in our store aren’t funded by the NDIS. They’re marked Ineligible on your summary, and you’ll need to remove them to continue. You can still buy them separately through our normal checkout.

Frequently asked questions

Getting started

Do I still use easyas.assistivetech.com.au?

No. NDIS quotes and orders now happen in our main store at assistivetech.com.au. Add products to your cart and click NDIS Quote / Order.

I have a service agreement from the old easyas site. What happens to it?

Existing service agreements are being moved to our new system, so you don’t need to do anything. If we need anything from you, we’ll be in touch. For any new quotes or orders, use the NDIS Quote / Order button in your cart.

Can I order on behalf of a participant?

Yes. Support coordinators, carers, guardians, nominees and other authorised representatives can place orders and sign for a participant. When we ask who is signing, choose the option that fits: Participant, Support Coordinator, Carer / Guardian, or Other.

The person signing must be authorised to enter into the service agreement for the participant. We send quotes, agreements and updates to the signer’s email address.

I’m not using NDIS funding. How do I order?

Check out as usual using the standard checkout in your cart. The NDIS Quote / Order button is only for orders funded through an NDIS plan.

How do I know which plan type the participant has?

The plan type is shown on the participant’s NDIS plan. If you’re unsure, ask the participant’s Plan Manager or Support Coordinator. The details you enter must match the NDIS plan.

The Plan Manager isn’t on your list. What do I do?

Turn on “The company that manages my plan isn’t listed”, then enter the Plan Manager’s company name, phone number and the email address they use for invoices. Use the plan management company’s name, not your contact person there.

Quotes

How long is my quote valid?

Quotes are valid for 30 days. The “Valid Until” date is printed at the top of your quote. Pricing and availability are based on what our suppliers offer today; if anything changes, we’ll send you an updated quote.

Is a quote an order or an invoice?

No. A quote isn’t an order or a tax invoice, and nothing is reserved or charged. Use it to seek NDIS approval or confirm funding. When you’re ready to go ahead, convert it into a service agreement.

How do I turn my quote into an order?
  1. Open your quote (from the email we sent, or the PDF you downloaded).
  2. Under “What Happens Next”, click the link to approve your quote and sign your service agreement.
  3. Click Convert to Agreement, then review and sign your service agreement online.

Prefer to talk it through? Call us on 1300 088 222.

The link on my quote says it’s no longer available

This happens when a quote has expired or been cancelled. If you’d still like to go ahead, contact us and we’ll help you with an up-to-date quote or agreement.

I received an email saying my quote was updated

Our team sometimes updates a quote, for example when pricing or product availability changes. Your quote number stays the same and the link always opens the latest version. The email also tells you the new “Valid Until” date.

Service agreements and signing

How do I sign my service agreement?

You sign online, on screen, straight after your summary (or after converting your quote). Every detail on the agreement comes from what you entered, so you only need to check it and add your signature.

Once you’ve signed, we email you a copy of the signed agreement. If you can’t sign online, call us on 1300 088 222.

I didn’t finish signing. How do I get back to it?

Use the link in the email we sent you, “Finish signing your Assistive Tech agreement”. Signing links are valid for 30 days.

I closed the page before I finished. Have I lost my details?

No. Your details save as you go. Go back to your cart and click NDIS Quote / Order again, and you’ll pick up where you left off. If you change the products in your cart in the meantime, your order will use the updated cart.

I was told my agreement has been updated or replaced

If we update an unsigned agreement, for example because a price changed, we email you a new signing link. Please sign the updated agreement; the earlier version can no longer be signed.

What happens after I sign?

Your signed agreement goes to our team for processing. We then invoice according to the plan type (see “Who pays, and how” above) and ship the order, emailing you tracking details when it’s on its way. If your order includes Replacement Supports, we’ll ask for the approval letter before invoicing.

Products, freight and delivery

How much is freight?

Freight is calculated automatically for your delivery address and shown on your summary before you confirm. If your cart only has items that don’t need shipping, such as apps, freight is $0.00.

Why do you need an address for digital items like apps?

We need the participant’s address details to meet NDIS billing requirements, even when there’s nothing to ship.

How will I know when my order has shipped?

We’ll email you when your order ships, with tracking details so you can follow your delivery.

Can I have the order delivered to a business or someone else?

Yes. You can add a company name for business deliveries, and turn on “Use alternate delivery contact” to give us the name and phone number of the person receiving the parcel. Please check the details carefully, as a second delivery may incur a charge.

Is there a limit on how many products I can order?

A single quote or agreement can include up to 15 different products. If you need more, split them across two orders or contact us.

What if an item becomes unavailable?

If a product is no longer available when you submit, we’ll ask you to update your cart and try again. If it changes after you’ve received a quote or agreement, our team will be in touch with updated details.

Something not working?

I saw an error when creating my quote or agreement

Wait a moment and try again; most errors clear on a second try. If you see “This order is still being updated”, give it a few seconds. If the problem continues, contact us on 1300 088 222 or support@assistivetech.com.au and we’ll sort it out.

My link says it’s expired or invalid

Links are valid for 30 days. If yours has expired, go back to your cart and click NDIS Quote / Order to start again, or contact us and we’ll help.

How do you use my personal information?

We use the details you provide to prepare and fulfil your quote or order. We share them only where needed, for example with the NDIS, the participant’s Plan Manager or Support Coordinator, and our couriers. See our Privacy Policy for details.
